Adeu Ambient Privacy Notice
Last updated: 8 October 2026
This notice explains how Adeu Ambient (“Ambient”), the desktop app made by Dealfluence Oy (“Dealfluence”, “we”), handles personal data. It covers the Ambient app and the services we run for it. Our website and our other services are covered by the Adeu Privacy Policy.
In short: Ambient runs on your computer. Your email, calendar and other content are stored on your computer, not on our servers. When Ambient uses AI, the content it needs goes from your computer directly to the AI service. We do not sell your data, and we do not use your content to train AI models.
Who we are
Dealfluence Oy, business ID 3449515-2, Lapinlahdenkatu 16, 00180 Helsinki, Finland. Contact us about privacy at privacy@adeu.ai.
Ambient is not intended for anyone under 18.
Who is responsible for which data
Ambient handles different kinds of data, and responsibility for each differs.
| Data | Who decides how it is used | Our role |
|---|---|---|
| Your content: email, calendar entries, messages, files and meeting recordings that Ambient keeps on your computer | You, or the organisation you use Ambient for | We do not access, store or otherwise process it |
| Content sent to the AI service included with Ambient | You, or the organisation you use Ambient for | We provide this service as your processor, under our data processing agreement, which applies from the start. Google is our subprocessor |
| Account and license data, and the technical data described under “Data we process ourselves” | Dealfluence | We are the controller |
If you use Ambient for an organisation, that organisation is responsible for the content of its mailboxes and calendars, including the personal data of the people you correspond with. For business use, including by sole traders, our data processing agreement forms part of our terms and applies to the included AI service before any processing begins. You can request a copy at privacy@adeu.ai.
How Ambient works
- Ambient connects only to the accounts and services you choose to connect, such as email, calendar, chat and messaging services, files and meetings.
- It keeps a working copy of that content, and the notes, summaries and drafts it creates, on your computer. Your email and calendar providers keep their own copies as usual.
- To triage, summarise and draft, Ambient sends the content it needs from your computer to an AI service (see “AI services”).
- Ambient sends email and messages to other people only when you approve them, or under a standing rule you have created for replies to specific addresses. You can see and remove your standing rules at any time in Settings. Ambient can also send notifications and approval requests to you, through chat services or webhooks you set up.
- If you record a meeting, the recording stays on your computer and is sent to the included AI service for transcription. You are responsible for telling participants that you are recording, and for getting their consent where the law requires it.
- If you connect a Microsoft 365 account, Microsoft asks you to let Ambient access your mail, calendar, Teams chats, mailboxes shared with you, and files you can open in OneDrive and SharePoint. Ambient reads your Teams chats only if you turn that on in Settings, a shared mailbox only if you add it, and files only from folders you attach as shared folders.
- Ambient downloads some components it needs, for example its AI engine and the model it uses for search, directly from their publishers, such as GitHub, PyPI and Hugging Face. These downloads carry no content from your accounts.
Google user data
If you connect a Google account, Ambient asks Google for the permissions below. You decide whether to grant them on Google's consent screen. Ambient uses Google user data only to provide the features you see in the app.
| Permission | What Ambient does with it |
|---|---|
| Basic profile (openid, https://www.googleapis.com/auth/userinfo.email, https://www.googleapis.com/auth/userinfo.profile) | Identifies your account and shows which mailbox is connected. If you start a free trial, Ambient sends our license service your Google sign-in token to verify who you are (see “Where it is stored”). |
| Gmail (https://www.googleapis.com/auth/gmail.modify) | Copies your mail to your computer. Archives messages, marks them read and applies labels, for example to mark suspected phishing. Saves reply drafts in your Drafts folder and removes Ambient's own drafts once they are sent or discarded. Sends messages you approve, and replies that match a standing rule you created. Apart from removing its own drafts, Ambient does not permanently delete anything in your mailbox. |
| Gmail, read-only (https://www.googleapis.com/auth/gmail.readonly) | Used instead of the permission above if you connect a mailbox as read-only. Ambient can then read your mail but cannot change or send anything. |
| Calendar events (https://www.googleapis.com/auth/calendar.events) | Reads your events. Creates events, moves meetings you organise and sends invitations or updates to attendees when you ask for or approve it. Adds and removes its own reminder entries, without attendees, to keep track of follow-ups. |
| Calendar events, read-only (https://www.googleapis.com/auth/calendar.events.readonly) | Used instead of the permission above for read-only connections. |
| Calendar list (https://www.googleapis.com/auth/calendar.calendarlist.readonly) | Shows the names of your calendars, so you can choose which ones Ambient reads. |
| Google Drive, read-only (https://www.googleapis.com/auth/drive.readonly) | Asked for only when you attach a Google Drive folder in Settings, under Shared folders. Lists your folders so you can choose one, and reads the folders you attach. Ambient never changes them. |
Where it is stored. Your Gmail and Google Calendar data, and the notes and summaries Ambient derives from them, are stored on your computer, not on our servers. Ambient keeps your Google sign-in tokens on your computer, encrypted with your operating system's protection. If you start a free trial, Ambient sends our license service the sign-in token Google issued to you, which contains basic profile details such as your name and email address. The service uses the token only to verify who you are and does not store it. It keeps only your email address, name and Google account ID, in your license record.
Who receives it. Ambient sends Google user data only:
- to the AI service you use, to produce the features you use (see “AI services”)
- back to Google, when Ambient acts on your mailbox or calendar for you
- to our license service, the sign-in token described above, if you start a free trial
- to a shared team knowledge base, such as a Git repository your team uses, if you set one up. Only notes you approve are sent: one at a time, or without asking each time if you set that repository to “Read & write” in Settings. They may include information derived from your email or calendar, and the people with access to that repository and its hosting provider can see them
- to chat services or webhooks you set up to receive Ambient's notifications and approval requests, such as Slack, Microsoft Teams or Discord. A notification can include a message's subject and recipients, or a meeting's title, time and attendees
- to other apps and services you connect to Ambient, when you use them through Ambient. For example, Claude Desktop or Claude Code, if you connect it, can read what Ambient holds, and a professional network you connect receives the names Ambient looks up there
- to public lookup services such as OpenStreetMap, which receive only the search terms, such as a place name
We do not sell Google user data, use it for advertising, or transfer it to anyone else, except where the law requires it, for security purposes such as investigating abuse, or as part of a merger or acquisition with your prior consent.
People. Dealfluence staff do not read your email or calendar content, except where you give us explicit permission for specific items (for example in a support case), where it is needed for security purposes such as investigating abuse, or where the law requires it. Staff do see the account details we use to manage your license.
AI training. We do not use Google user data to create, train or improve generalised AI or machine learning models, and the included AI service does not use it for that either.
Derived data. These commitments also cover notes, summaries and other data Ambient derives from Google user data, including anything that stays on your computer after you disconnect your Google account.
Adeu Ambient's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
The use of raw or derived user data received from Workspace APIs will adhere to the Google User Data Policy, including the Limited Use requirements.
Removing access. You can remove Ambient's access at any time in your Google Account at myaccount.google.com/permissions, or by removing the account in Ambient. See “How long data is kept” for deleting the copy on your computer.
AI services
Ambient uses an AI model to read and write for you. Which model it uses depends on your settings.
- The included AI service (default). Ambient includes access to Google's Gemini models through a Google Cloud account provided by Dealfluence. Content goes directly from your computer to Google. Google processes it on our behalf under its data processing terms, does not use it to train or improve its models, and may keep it for a limited time to detect abuse. Google may process it outside the European Economic Area (see “Sharing and transfers”). Google also processes some technical data about how its service is used, as a separate controller under its own terms.
- A model you run yourself. You can connect a model that runs on your own computer or network. Ambient then uses that model to read and write for you, and does not send that content to a model provider. Meeting transcription still uses the included AI service.
Dealfluence provides one AI service with Ambient: the included AI service described above. We do not provide, operate or resell any other AI service, we have no agreement with any other AI provider for Ambient, and we do not receive content sent to one. We do not endorse any particular AI provider.
Ambient's settings let you connect a different AI service yourself, or let an AI app such as Claude Desktop use Ambient. If you do, you choose and contract with that provider, and you are responsible for that choice. Google user data, and anything derived from it, stays subject to Google's Limited Use requirements wherever it goes: a provider may use it only to produce features for you, and must not use it to train or improve AI models. Choose a provider whose terms allow only that. Accepting a provider's terms cannot permit other uses.
AI output can be wrong. Review drafts and summaries before you rely on them or send them.
Data we process ourselves
To provide your license and keep Ambient up to date, our services process a small amount of data. They do not receive your email, calendar or other content.
| Data | Why | Legal basis | How long |
|---|---|---|---|
| Account and license: name, email address, organisation if given, license type, seats and dates, and your activation code, which we store only as a one-way hash | To provide and manage your license and contact you about it | Contract, if you are the customer yourself. If your organisation is the customer: our legitimate interest in providing the license it bought. Accounting records: legal obligation | While your license is active and up to 12 months after it ends; longer where accounting law requires |
| Free-trial sign-in: the sign-in token from Google or Microsoft, and from it your email address, name and account ID | To confirm who you are and prevent repeated trials | Steps you ask us to take before a contract (the trial), and legitimate interests (preventing misuse) | Token: not stored. Email address, name and account ID: as long as the related license record |
| License checks: a pseudonymous identifier derived from your device, app version and operating system | To tie your license to your devices, deliver updates and prevent misuse | Contract, or legitimate interests where your organisation is the customer; legitimate interests in preventing misuse | While your license is active and up to 12 months after it ends |
| Update and download requests: IP address and request details | To deliver updates and protect our services | Legitimate interests (security and operation) | Only as long as needed for security and troubleshooting |
| Optional usage statistics, only if you turn them on: events such as app start and update result, a random installation ID linked to your license, app version and operating system | To understand how Ambient is used and improve it | Consent, which you can withdraw in Settings at any time | Up to 24 months |
| Support and other messages you send us | To help you and answer your questions | Contract, or legitimate interests where your organisation is the customer | Up to 24 months after the matter is closed |
You need to give us your license details to use Ambient. Everything marked optional is up to you. Ambient does not make decisions about you that have legal or similarly significant effects.
How long data is kept
Content on your computer stays there until you delete it. Ambient keeps it in these places:
- its app data folder, which also holds the history of its AI conversations, including the content the AI read
- its workspace folder (by default “ambient-workspace” in your home folder), which holds notes, drafts and meeting recordings
- a backup copy of the mail and messages it receives (by default “ambient-raw” in your home folder). The backup is on by default and can be turned off in Settings
- OpenCode's own data folder (by default “.local/share/opencode” in your home folder), which holds the history of its AI conversations instead if you choose “Follow OpenCode” as the AI model in Settings. It also keeps the history from Ambient 0.30.5 and earlier
Removing an account in Ambient, or revoking Ambient's access in your Google Account, stops further access but does not delete what is already on your computer. To delete specific content, ask Ambient to forget it with the /forget command. To clear what Ambient has learned, use Reset knowledge base in Settings. To delete everything, delete the folders above. Copies you have shared, exported or sent elsewhere, such as notes shared with a team knowledge base, must be deleted there. We cannot delete content on your computer for you, because we do not have it.
For data we process ourselves, see the table under “Data we process ourselves”.
Security
- Ambient stores sign-in tokens on your computer, encrypted with your operating system's protection.
- Ambient is designed to treat the text of incoming email as untrusted. It asks for your approval before it sends email or messages to others, sends invitations or moves meetings, or shares notes, unless you have given it a standing rule or permission for that.
- Our services use encrypted connections and access controls.
No system is perfectly secure. Report security issues to security@adeu.ai.
Your rights
For data we process ourselves, you can ask for access to it, correction, deletion, restriction or a portable copy, and you can object to processing based on legitimate interests. Where we rely on consent, you can withdraw it at any time. Contact privacy@adeu.ai. We may need to confirm your identity first.
Content on your computer is under your own control. If you use Ambient for an organisation, send requests about mailbox or calendar content to that organisation.
You can complain to the Office of the Data Protection Ombudsman in Finland (tietosuoja.fi) or to the authority where you live or work.
Changes to this notice
We will update this notice when Ambient or the law changes. We will tell you by email before a material change takes effect. The date at the top shows the latest version.
